OneDrive vs SharePoint: Where Should My Business Files Go?

Both store files in Microsoft 365, but they are not the same thing. Here's the simplest way to decide where your business documents should live.

What's the Difference Between OneDrive and SharePoint?

OneDrive and SharePoint both store files in Microsoft 365, which is why they are easy to confuse.

The simplest distinction is ownership and purpose.

OneDrive is primarily your individual work area.
SharePoint is where business information is stored for a team or the organisation.

They work together, but they are designed for different jobs.

What Is OneDrive For?

OneDrive gives each licensed user their own cloud-based file storage area.

It is ideal for files you are working on personally, drafts and documents that are not yet intended to become shared team information.

What Is SharePoint For?

SharePoint is designed around shared business information and collaboration.

A SharePoint site can hold documents that belong to a department, project or the company rather than to one individual employee.

A Simple Rule: Me or We?

A useful way to decide where a document belongs is to ask one question:

Is this MY working file, or is it OUR business file?

If it is primarily yours while you work on it, OneDrive is usually the natural home.

If it belongs to a team, department or the wider business, SharePoint is usually the better long-term home.

Where Does Microsoft Teams Fit In?

Teams adds another layer that can make this seem confusing.

When you share files in a Teams channel, those files are stored in the SharePoint site connected to that team.

So Teams is often the place employees interact with shared documents, while SharePoint provides the underlying document storage and management.

Why Does It Matter Where Files Are Stored?

If important company documents live only in an employee's OneDrive, the business can become unnecessarily dependent on that person's account.

That becomes especially noticeable when somebody changes role or leaves the company.

Shared business information is usually easier to manage when it lives in a business-owned SharePoint location with appropriate permissions.

Can SharePoint Files Appear in File Explorer?

Yes. Using OneDrive's sync capabilities, SharePoint document libraries can be made available through File Explorer on supported computers.

That means employees can work with shared cloud files in a familiar folder-style experience without treating the files as somebody's personal OneDrive data.

What About Permissions?

Both OneDrive and SharePoint support sharing, but SharePoint gives businesses a more structured way to organise access around sites, teams and document libraries.

That is useful when different departments need different levels of access to company information.

Permissions should still be kept as simple as practical. Overcomplicated access structures quickly become difficult to understand and maintain.

What If Our Files Are Currently on a Server or Google Drive?

Moving to Microsoft 365 is a good opportunity to decide where information should live rather than simply copying every old folder into one enormous cloud folder.

Personal working data may belong in OneDrive, while shared departmental and company information can be structured in SharePoint.

A little planning before migration can make the finished environment much easier for employees to use.
